How to stop Microsoft Office saving copies with "copy of ....." prefix?

Featured Replies

I've been using MS Office 2010 Pro for some time now. It's most annoying feature is every time I want Save an object with a fresh filename (like when using "Save As"...), it always prefixes the new object name with "Copy of ........".  I prefer to version number things with a "vX.X" or "vXa" at the right hand end of the name.  So have to manually delete the "Copy of " prefix every time.

Annoying, particularly when using Access, where I like to keep query versions as I develop and change them. Just in case.

I've searched in Windows and Office Help, and Googled various ways of phrasing how to switch this feature off. No joy.

Anyone in here know a way to switch this off. Or a work around?

But surely if you go "save as" it prompts you for a file name?

For the behaviour you speak of you must be trying to save a file into the same directory where the same file name already exists.

In which case its a good job Microsoft ads "copy of" otherwise you would loose your original.

Edit

Just noticed your using access database I thought it was a simple office document say word excel etc.

I don't think you can, you have to live with it.

Apart from creating some VBA routine, I don't think there's a way to do it, within the usual 'Save As' parameters.

For Access I'd just keep to one DB file and have multiple query versions saved within it, then do a physical file backup as appropriate. But that's just me.

"File -> Save As" has always treated MyFile_1.extn and MyFile_2.extn as different files IME. It doesn't default to "Copy of MyFile1.extn".

Thanks Guys.  Glad its not just me missing a simple trick then. :)

Wardy - Yep, that's what I aim to do as well. One master DB, then have multiple versions of a similar query within it. Partly for different development versions of the query, Version 1a, 1b, 1c, etc. For safety. Partly for versions that use a subtly different method of achieving the end result, e.g. "findXYZusing_masterkey", findXYZusing_name", "findXYZusing_someotherfield", etc.

Just that when I [save As] the query, I would prefer to be able to just add a different version name on the right. So when listed alphabetically, similar queries appear together and in development path order. Unless I want ALL my queries to start with "Copy of.....", which just wastes name width.

Re. your first post - Yep!   It does seem to be an Office wide thing, and not just restricted to Access.  Also get the same problem when using [save As] in Excel to save a complete file, for example. I want to keep the file versions in the same directory folder, because they all relate to different development stages of the same spreadsheet. When I want to overwrite the file or query and keep the same name, I use simple [save]. When I deliberately want to change the name to a fresh version number or new name of my own choosing in the name prompt, I have to delete the annoying "Copy of " that Office inserts for me, every time.

THANKS for the link in your second post! The OP in that thread has the very same problem.  I'll try the VB code fix in there and see if that brings any relief......

Perhaps its just when using shortcut or menu bar [save As]?   I'm starting to doubt my own sanity now....

Time to change my signature line maybe?

Glad it helped. One of my colleagues is an access programing wizard so ill ask him when he gets in. Its probably something in the trust centre like a tick box. or a Reg entry that needs the D value changing from a 0 to a 1 etc.
